Key concepts

Organizations, seasons, days, inventory, roles and the audit log.

Organizations#

An organization is your committee or association. It is the boundary for everything in Mandali: members, seasons, money and the audit log all belong to exactly one organization, and nobody outside it can see them.

One person can belong to several organizations (for example, a temple committee and a cultural association) and switch between them. See Work in several organizations.

Members and roles#

Every member has exactly one role. Roles decide what a person can see and change:

RoleTypical personIn short
AdminPresident, secretaryFull control, including members and settings
ManagerEvent, food or venue leadSets up and runs seasons, days, meals and tickets
TreasurerTreasurer, finance teamMoney, closing and reopening seasons, audit log
VolunteerDay-of crewViews the season; check-in when it launches

The full matrix is in Roles & permissions.

Seasons#

A season is one festival year. It moves through three states:

StatusMeaning
DraftBeing prepared. Can be edited and deleted.
ActiveThe season your committee is working in. Only one season can be active.
ClosedLocked for the year-end report. Nothing can be changed until a treasurer or admin reopens it, with a reason that is recorded.

You can look at any season with the season picker at the top of the dashboard. Viewing an older season doesn't change which season is active.

Days, meals and tickets#

Inside a season:

  • Days are the dates and sessions of the festival, with times and a venue.
  • Meal slots are meals served on a day. They have adult and child prices, an optional capacity and the dietary options you offer.
  • Ticket types are entries guests can buy: a season pass valid for every day, or a ticket for one day.

Meal slots and ticket types can be paused to stop new sales without deleting them.

Money in Mandali#

All amounts are stored exactly, in your organization's currency, and every money movement is recorded in the season's ledger: cash, Zelle and cheques today, and card payments, refunds and expenses as those modules launch. Ledger entries are never edited or deleted; mistakes are voided with a reason. See The ledger.

The audit log#

Every change made by your committee (creating a season, editing a meal price, closing a season) is written to the audit log with who did it and when. It can't be edited or deleted. See Audit log.
