Treasurer training

Own the season's money: the ledger, controls, closing the books and the audit trail.

For treasurers About 25 minutes

What you'll learn#

Treasurers are the committee's financial controller. In Mandali you close and reopen seasons, review the audit log and, as payments roll out, record manual payments, approve expenses and issue refunds.

Module 1: Secure your account (3 min)#

You control money, so your account is a target.

  1. Turn on two-factor authentication

    Avatar → Manage account → Security. Step-by-step.

  2. Use your own email

Never share an account with the previous treasurer. Ask an admin to invite you personally.

Module 2: Separation of duties (4 min)#

Mandali splits setup from money on purpose:

WhoDoes what
ManagersSet prices, capacities and inventory
TreasurersControl the books, close the season, approve money going out
AdminsCan do both, and manage people

This means no single volunteer can both set a price and sign off the books, which is what auditors and members expect. Full matrix.

Module 3: The audit log (5 min)#

Open Audit log. Each entry shows who did what and when, with before and after values for edits.

A good weekly routine during the season:

  1. Filter to meal slots and ticket types and check every price change was agreed.
  2. Look for changes from people who have left the committee.
  3. Raise anything unexpected with an admin.

Module 4: Closing the season (5 min)#

  1. Reconcile

Make sure every payment and expense for the season is recorded.

  2. Close

Seasons → Close next to the active season. Setup and finances are now locked. Read more.

  3. If you must correct something

Select Reopen and give a clear reason, such as Late sponsor cheque. The reason is stored permanently. Close it again when you're done.

Module 5: The ledger (5 min)#

Open Ledger. Every payment in and out of the season is recorded here.

  1. Record a payment

Record payment → choose money in or money out, then the amount, date, method, category, who it was from or to, and a reference such as the cheque number. Read more.

  2. Fix a mistake by voiding

Entries can never be edited or deleted. Select Void, give a reason, and record the correct entry.

  3. Reconcile weekly

Compare the ledger with your bank statement each week during the season, using the references to match entries.

Module 6: What's coming for treasurers (2 min)#

Online payments are rolling out next: your committee's Stripe account, card payments and refunds landing in the ledger automatically, and expense approvals. Read How money works to prepare.
